Receptionist / Administration Assistant

Marine Rescue NSW (MRNSW) is an essential emergency service. We work with other emergency services, particularly the NSW Police Force, and promote boating and water safety through community events, education, and engagement activities.

About the role

The Receptionist / Administration Assistant will ensure that MRNSW office and administrative processes are effective to:

  • ensure a positive experience for members, staff and all those who contact the office by enabling and supporting clear, respectful communication and a proactive problem-solving approach.
  • support organisational effectiveness by ensuring correspondence, meetings, paperwork, supply of office essentials and support for office equipment are all well coordinated.
  • provide administrative efficiency through smooth-running administrative procedures, clear policies, and ongoing development and improvement of administrative processes.
  • support operational effectiveness by making sure that meetings and coordination activities are well-organised and documents are distributed appropriately.

Key responsibilities

  • Greeting, directing and supporting office visitors and phone calls of all kinds and managing relationships with service providers as required.
  • Assisting to coordinate office operations across a wide range of areas including office cleaning, kitchen supplies, and office equipment.
  • Managing inquiries, mail, correspondence and office documents including tracking and filing.
  • Accepting deliveries and organising courier services.
  • Scheduling and coordinating meetings, appointments and bookings for the Deputy Commissioners and any other senior staff as required.
  • Maintaining and sharing internal and external contact information.
  • Providing other administrative, coordination, document or logistical support as required.
  • Assisting the Stores Manager with various administrative tasks and deliveries.

About you

  • Experience in office reception and administration, or customer service.
  • Ability to operate in a changing environment.
  • Proficiency with a range of software.
  • Excellent time management skills and ability to multitask and prioritise work.
  • Excellent communication skills.
